About The Position

The Office Services Administrator provides on-site, day-to-day execution of office operations, facilities support, and employee engagement activities at their assigned TRANZACT location. This role acts as the front-line point of contact for employees, visitors, and vendors, carrying out the plans, standards, and budgets set by the Office Services & Events Manager. The Administrator ensures a safe, well-run, and welcoming site while freeing the Manager to focus on multi-site strategy and leadership.

Requirements

  • On-site, day-to-day execution of office operations, facilities support, and employee engagement activities.
  • Front-line point of contact for employees, visitors, and vendors.
  • Carrying out plans, standards, and budgets set by the Office Services & Events Manager.
  • Ensuring a safe, well-run, and welcoming site.
  • Vendor management (cleaning, maintenance, catering).
  • Submitting and tracking work orders/service tickets.
  • Monitoring site safety and badge protocols.
  • Reporting safety, security, or ADA compliance concerns.
  • Maintaining and replenishing office equipment and supply inventory.
  • Placing routine supply and equipment orders within approved budget.
  • Processing invoice submissions and expense entries.
  • Maintaining organized expense records.
  • Coordinating conference room bookings and meeting-room setup/readiness.
  • Managing badge issuance, replacements, and equipment returns.
  • Supporting space-planning changes (desk assignments, moves, signage).
  • Coordinating shipment of equipment/supplies.
  • Executing on-site event logistics (setup, décor, catering coordination, breakdown).
  • Ordering and distributing engagement materials, games, and prizes.
  • Distributing weekly calendars, newsletters, and announcements.
  • Assisting with logistics for recognition programs, wellness initiatives, and volunteer events.
  • Serving as the first point of contact for employee questions about office services and events.
  • Supporting recruiting logistics (interview scheduling, candidate communication, hiring event setup).
  • Providing on-site guidance to candidates, new hires, and visitors.
  • Handling additional site-based administrative and project tasks.

Responsibilities

  • Serve as the on-site point of contact for vendors (cleaning, maintenance, catering); submit and track work orders/service tickets, escalating unresolved issues to the Manager.
  • Monitor site safety and badge protocols; report safety, security, or ADA compliance concerns to the Manager and HR.
  • Maintain and replenish office equipment and supply inventory; place routine supply and equipment orders within approved budget.
  • Process invoice submissions and expense entries for Manager review and approval; maintain organized expense records.
  • Coordinate day-to-day conference room bookings and meeting-room setup/readiness.
  • Manage badge issuance, badge replacements, and equipment returns for employees and departing staff.
  • Support execution of space-planning changes (desk assignments, moves, signage) as directed by the Manager.
  • Partner with IT and warehouse contacts to receive, log, and coordinate shipment of equipment/supplies for sales centers as needed.
  • Execute on-site event logistics — setup, décor, catering coordination, and breakdown — per the Manager's event plan and budget.
  • Order and distribute engagement materials, games, and prizes for employees and sales agents, including AEP activities.
  • Distribute Manager-developed weekly calendars, newsletters, and announcements to employees via email and Teams.
  • Assist with logistics for recognition programs, wellness initiatives, and volunteer events.
  • Serve as the first point of contact for employee questions about office services and events, escalating as needed.
  • Help maintain a welcoming, organized, and inclusive site environment that reflects TRANZACT's values.
  • Support recruiting logistics in partnership with the Recruiting team: interview scheduling, candidate communication, and on-site hiring event setup.
  • Provide on-site guidance to candidates, new hires, and visitors, including pre-licensing exam venue logistics as needed.
  • Handle additional site-based administrative and project tasks as assigned by the Manager.
