About The Position

The Office Resource Coordinator works in tandem with the Office Manager to support the smooth, safe and well-maintained operation of Shondaland offices in both Los Angeles and New York. This role serves as a top-notch steward of our workplace environment, with organization, customer service, observation and problem solving skills at the top of their priority list. This is a flexible PART-TIME position in our Los Angeles, California office. This role is currently in office 4 half-days a week for a total of 16 - 20 hours with the opportunity to work more during occasional special projects and company events.

Responsibilities

  • Works closely with the Office Manager to create and maintain an office environment that reflects the brand’s values and standards to our visitors
  • Orders and maintains office supplies for the NY & LA offices, updating and organizing supply areas in Los Angeles weekly
  • Helps to stock and maintain office snacks and beverages across both the LA and NY offices in accordance with Shondaland’s Green & Clean initiative
  • Takes pride in our office surroundings with the goal of providing a safe, clean and well functioning environment conducive to team members doing their best work
  • Notes any maintenance issues, and reports to the Office Manager
  • Assists the Office Manager and Chief Innovation & Design Officer with office moves, office redecorating, furniture deliveries, etc. and in keeping team member’s offices in the best shape
  • Answers the main phone line as needed, transferring calls to appropriate departments
  • Provides administrative assistance across the organization when assistants are out of office
  • Is proactive in assisting all departments with projects as needed, when there is time
  • Scans and delivers incoming mail and packages to team members
  • Picks up mail from the company PO Box on a weekly basis
  • Coordinates incoming and outgoing shipments with Consumer Products Manager and brand partners ensuring shipping address, arrival and receipt of packages are timed properly to meet review deadlines
  • Assists People & Culture team with company meals, events and special moments
  • Contribute to safety committee discussions to support the implementation of emergency protocols, such as earthquake and fire drills.
  • Assists People & Culture with onboarding new hires as needed (ie, badges and parking passes, etc)
  • Runs errands, as necessary and other duties as assigned
