About The Position

We are seeking a reliable and detail-oriented Gateway Office Operations Agent to support daily operations within a fast-paced logistics and cold chain environment. This role is a blend of administrative office support and hands-on warehouse responsibilities, with approximately 70% office duties and 30% warehouse support. This position plays a critical role in preparing packing supplies for clients, managing live shipments, maintaining temperature-sensitive packaging requirements, and ensuring export readiness for shipments. The ideal candidate will be organized, responsive, and comfortable working across both office systems and warehouse operations.

Requirements

  • High school diploma or GED required
  • Less than one year of related work experience required
  • Ability to read and understand English for labels, paperwork, and instructions
  • Strong organizational skills with high attention to detail
  • Strong interpersonal skills and ability to work cooperatively with team members
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong judgment and ability to follow detailed instructions accurately
  • Comfortable with data entry, spreadsheets, and internal systems updates
  • Basic Microsoft Excel proficiency required
  • Ability to lift up to 75 lbs.
  • Ability to work in both office and warehouse settings, including refrigerated environments

Nice To Haves

  • Previous experience in logistics, shipping, warehouse operations, or cold chain handling preferred
  • Experience working in administrative and warehouse environments is highly preferred

Responsibilities

  • Prepare and replenish packing supplies for customer shipments
  • Handle live shipments returning to the office for export preparation
  • Review and follow temperature handling instructions to maintain product integrity
  • Refurbish reusable cold chain packaging and gel pack materials
  • Process shipments and ensure all paperwork is complete and accurate
  • Monitor and manage “On-Hold” shipments pending export or delivery approval
  • Coordinate cargo space bookings through internal systems
  • Support cold chain operations including: Gel pack preparation, Packaging refurbishment, Packaging configuration
  • Monitor, respond to, and follow up on personal and group email accounts
  • Review and action shipment notes and internal follow-up requests promptly
  • Complete daily reporting using internal systems and Excel spreadsheets
  • Update shipment tracking information and assist with investigations as needed
  • Operate pallet jack equipment safely when required
  • Support customer packaging needs and replenishment requests
  • Complete all assigned training by required deadlines
  • Assist with overtime needs when business demands require
  • Perform additional duties as assigned by leadership
