About The Position

We are an integrated portfolio company that brings craft, innovation, and operational mastery together to build and scale specialty food & beverage brands across both B2B and B2C. Our portfolio includes owned and licensed brands such as Parisi Coffee, Mother Earth Organic Coffee, Cervasi Italian Foods, Luigi Bonura’s Pasta Sauce, and Margaritas Amigos Salsas, among others. Beyond brand ownership, we operate as a full-service operating company offering: Contract manufacturing and coffee roasting, Global importing and sourcing, Private label program development, Branding and packaging services, Fulfillment operations, Logistics, climate-controlled warehousing, cold storage, and DSD (Direct Store Delivery). The Office Manager is responsible for the day-to-day operations and overall functionality of our office/headquarters. This role will serve as the primary on-site point of contact, ensuring a professional, organized, and welcoming workplace environment. The Office Manager supports employees, customers, and visitors while coordinating office services, facilities, supplies, and administrative activities. The Office Manager will also be a part of and in support of the Customer Service team and functions. This newly created position is designed to support growth, operational efficiency, and a positive office experience. This position plays a critical role in establishing a smooth, professional, and welcoming environment in our new office. The Office Manager helps ensure that employees can focus on their work while customers and visitors experience our brand(s) at their best.

Requirements

  • High School Diploma or equivalent GED.
  • 2+ years of experience in office management, administrative support, or a similar role preferred
  • Strong organizational skills with attention to detail
  • Excellent communication and customer service skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Comfortable coordinating with vendors and external service providers
  • Basic troubleshooting skills for office equipment
  • Proficiency with Microsoft Office (Outlook, Teams, Excel, Word)
  • Reliable, proactive, and self-directed with an ownership mindset

Nice To Haves

  • Passion for coffee with barista training or hands-on experience preferred.

Responsibilities

  • Serve as the primary on-site office contact during business hours
  • Answer and route incoming phone calls professionally and efficiently
  • Manage office mail, deliveries, and visitor check-in
  • Maintain office organization, cleanliness, and functionality
  • Support office schedules, conference rooms, and shared spaces
  • Support internal communications and administrative needs as required
  • Provide operational support to the Customer Service team and functions
  • Assist with customer inquiries, routing requests to appropriate teams as needed
  • Support on-site meetings and visitors, ensuring a positive customer experience
  • Act as a liaison between office staff and leadership for facilities or resource needs
  • Assist with Customer Order Processing and reply to customer communications
  • Coordinate office maintenance with the Maintenance Department for repairs and service with vendors, landlords, and providers
  • Monitor and communicate facility issues promptly (HVAC, cleaning, repairs, security, etc.)
  • Manage office safety, cleanliness, and compliance with company standards
  • Maintain relationships with building management and external vendors (as needed)
  • Order and manage office supplies, breakroom items, and consumables
  • Track inventory levels and forecast supply needs
  • Ensure office equipment (printers, phones, coffee equipment, etc.) is maintained and functional
  • Manage employee and visitor parking assignments and policies
  • Coordinate parking access, permits, and communications
  • Support office move-in logistics and ongoing space planning as the office grows
  • Brew and serve coffee for the office daily and visitors as needed
  • Maintain coffee equipment, including cleaning, stocking, and basic troubleshooting
  • Coordinate service or repairs for coffee equipment when necessary
  • Ensure coffee and beverage areas are clean, stocked, and inviting
  • Support onboarding activities for new employees at the office location
  • Assist with office events, meetings, and employee engagement activities
  • Develop and document basic office procedures and best practices
  • Identify opportunities to improve office efficiency and employee experience
  • Perform other duties as assigned by supervisor to support business operations
