About The Position

The Education Foundation Office Manager oversees the management of the Education Foundation programs, events, and finances. This role is crucial for managing over $1 million in income, coordinating grant and scholarship programs, maintaining donor relations, and supporting key fundraising events. The position requires strong organizational, communication, and financial management skills, with a preference for experience in business, marketing, or communications.

The employee may spend long hours in intense concentration which requires attention to detail. There are a number of deadlines associated with this position, which may cause significant stress. Flexibility is required to independently work with others in a wide variety of circumstances.

Responsibilities

  • Oversees all donations and expenses for the Education Foundation through QuickBooks.
  • Runs financial reports for the board and updates the EF Board Treasurer with financials monthly.
  • Coordinates with the investment firm regarding the board-allocated fund and endowed scholarships.
  • Tracks all donations, including communicating with donors and maintaining the donor database.
  • Balances checking and money market accounts monthly.
  • Manages and creates Excel spreadsheets for endowments and scholarships.
  • Works with auditors to provide all necessary financial information, board correspondence, minutes, and QuickBooks information for annual audits or reviews.
  • Coordinates the grant selection and awarding process, including the software application process, setting up budgets, overseeing spending and monitoring implementation, and assisting with Grant Patrol day.
  • Coordinates the scholarship program, including application software design and selection, contacting annual donors, managing scholarship donations, planning the scholarship reception, and issuing payments to colleges.
  • Assists with managing details for fundraising events like '50 Men Who Can Cook', including coordination with chefs, vendors, volunteers, and ticket sales.
  • Coordinates the Employee Giving program, including securing incentives, scheduling and making campus presentations, and overseeing all monies.
  • Maintains donor management software (Donor Perfect), including working with confidential information, sending tax receipts, and running fundraising analysis and forecasting reports.
  • Communicates regularly with donors, EF board members, teachers, students, and parents.
  • Plans, organizes, and communicates with the EF Board regarding monthly EF Board meetings.
  • Performs other related duties as assigned within the appropriate skill and experience capabilities expected for this position.
