About The Position

Ambient.ai is seeking a high-energy, proactive, and tech-savvy Office Manager for a 3-month temporary term. This role is crucial for maintaining daily operations and serving as the backbone of the company. The Office Manager will be responsible for the office environment, event planning, and providing first-line support to the team. Ambient.ai is a leader in Agentic Physical Security, utilizing advanced AI technology to enhance security operations for world-class customers.

Requirements

  • A Bachelor’s degree is required.
  • 2+ years in Office Management, Event Management, or a similar high-touch operational role.
  • Experience in a high-growth startup environment is a significant plus.
  • Ability to lift 25+ lbs.
  • Self-starter with pride in work, embodying discretion and a "white-glove" standard.
  • Proactive with a sense of urgency and a "no task too small" attitude.
  • High-level communication skills, with the ability to maintain confidentiality.
  • Approachable and helpful, yet firm in maintaining office policies and budgets.
  • Expertise in Google Suite (Sheets/Excel).
  • Eagerness to use AI technology to solve manual problems.
  • Reliable and punctual, ensuring the team is set up for success by 9:00 AM.

Responsibilities

  • Ensure the office aesthetic is maintained, including conference rooms, kitchen, and coffee service.
  • Manage the new hire experience, ensuring timely laptop delivery, desk setup with swag, and a welcoming environment.
  • Plan and organize company events and manage company swag.
  • Lead the Anniversary Recognition Program.
  • Manage office expenses and vendor costs to optimize budget and identify savings.
  • Provide a welcoming experience for visitors, interviewees, and customers.
  • Oversee workplace safety and regulatory compliance, including OSHA regulations and office security protocols.
  • Support the India office with ordering supplies and coordinating onboarding.
  • Act as the office lead for the replica weapon testing process.
  • Manage and lead company meetings every Friday.
  • Perform other duties as they arise.
