About The Position

Quilt Software is looking for a part-time Office Manager to help create a smooth, organized, and welcoming office experience for our Provo team. This role is ideal for someone who enjoys taking ownership of day-to-day office needs and making sure the workplace runs well.

Requirements

  • Highly organized and detail-oriented, with the ability to juggle recurring weekly tasks alongside ad hoc requests.
  • Comfortable being the go-to person for a variety of logistics — nothing here is "not my job."
  • Clear, proactive communicator, especially over Slack and email.
  • Reliable and punctual; able to be on-site weekly for pickups, stocking, and in-person tasks.
  • Requires at least 3 weekly in-office visits for snack/mail pickup and stocking; additional hours as needed for badge requests, vendor coordination, and front desk support.
  • Applicants must be authorized to work for any employer in the U.S. We are unable to sponsor or take over sponsorship of an employment Visa at this time.

  • Prior office management, administrative, or facilities experience preferred but not required.

Responsibilities

  • Post announcements and communicate with the office staff as needed regarding office updates.
  • Manage the weekly snack and drink ordering process: assess inventory, place Sam's Club and Walmart orders within budget, pick up in person, and stock the office.
  • Coordinate end-of-week office treats and manage monthly lunches for office staff, including ordering, pickup or delivery, and setup as needed.
  • Submit and track building access requests for new hires, departures, and temporary badge needs.
  • Manage 4th-floor access permissions via the local network access panel.
  • Process gym access requests, including signed waivers, and support the quarterly badge audit against the Quilt badge tracking spreadsheet.
  • Pick up and sort incoming mail weekly; route checks, tax documents, and general mail to the correct recipient or department.
  • Handle outgoing mail (e.g., Billing/Finance) including USPS drop-off.
  • Receive and deliver packages (backup to on-site IT), and coordinate delivery of official paperwork when needed.
  • Serve as the point of contact for building management and vendors on as-needed office issues.
  • Keep basic supplies on hand (e.g., light bulbs) and know where spares are stored.
  • Coordinate with staff when the front desk notifies the office of a visitor, ensuring guests are greeted, and hosts are notified via Slack.
