About The Position

Herzog Contracting Corp. is currently seeking an experienced Office Manager in Denver, CO to join our team. This role involves supporting the management team in various functions, including document control, new hire onboarding, and assisting with administrative tasks related to project management. The position requires a high level of accuracy, excellent communication skills, and the ability to manage multiple priorities in a dynamic environment. Regular engagement with Herzog's culture and predictable attendance are essential requirements.

Requirements

  • High school diploma or equivalent.
  • Must have a high level of accuracy and attention to detail.
  • Analytical/research Skills
  • Must have excellent communication skills (listening, verbal and written).
  • Must be highly proficient with Outlook, Adobe, MS word, Excel, document control software (Prolog), etc.
  • Must be flexible, accustomed to change and able to manage multiple priorities.
  • Must have excellent time management skills.
  • Must be able to get along and build/maintain relationships with coworkers, managers, customers, etc.
  • Must be highly organized.
  • Must have strong leadership and management skills.
  • Subject to pre-employment background check and motor vehicle report review.
  • Subject to pre-employment physical, medical evaluation, and drug screen.
  • Successfully complete and maintain any required safety certification and testing on an annual basis.
  • Work primarily in an office environment.
  • Frequently sits for extended periods of time.
  • Frequently use a computer keyboard and office related equipment.
  • Requires occasional standing, walking, lifting, stooping or bending.
  • Must successfully pass color/vision examinations as required by the position.
  • Must be able to hear and distinguish auditory signals as required by the position.
  • Reporting any and all safety violations to your immediate supervisor is a prerequisite for continued employment.

Nice To Haves

  • Business degree or equivalent experience preferred.
  • 5+ years of relevant experience in the heavy civil/light rail industry preferred.
  • Contract reading and understanding a plus.
  • Specification reading and understanding a plus.

Responsibilities

  • Support the management team in a variety of functions.
  • Document Control of all official correspondence.
  • Onboarding of new hires.
  • Assist with finalization of and submission of pay applications, verify time reports to ensure accuracy.
  • Maintenance of daily logs received from Project Engineers i.e., RFI Logs, CO Logs, Correspondence Logs, NCR Tracking Reports, extra work, rail specific logs, etc.
  • Attend various meetings and maintain accurate meeting minutes to be distributed as necessary.
  • Assist in the development of RFIs, correspondence to owners, prime contractors, and subcontractors.
  • Communicate with subcontractors and suppliers in order to gain proposal clarification and assist in the development of purchase orders and subcontracts.
  • Assist in cost coding and processing of all invoices.
  • Assist in the development of change order requests.
  • Regular and consistent engagement, participation and promotion of Herzog’s Culture and its essential behaviors are a requirement for this position.
  • Regular and predictable attendance and punctuality are a requirement for this position.
  • All other duties as assigned.
