About The Position

The Office Manager - North America will oversee and manage all day-to-day office operations, ensuring a smooth, organized, and professional environment. This role requires a proactive, forward-looking approach to monitor office needs, including supplies, maintenance, and overall readiness, ensuring no disruption to business operations. The Office Manager will serve as the primary point of contact for visitors, manage incoming and outgoing mail and deliveries, and develop/implement office policies and procedures. They will identify opportunities for process improvements, support office planning, and partner with IT to resolve technical issues. A key responsibility includes managing US team travel end-to-end and owning vendor relationships and contracts. The role also acts as the liaison with building management, leads office events, supports onboarding logistics, and manages internal communications. Additionally, this position provides dedicated executive support to the President of North America, including complex calendar management, travel coordination, and expense management. The role demands full ownership, proactive issue resolution, attention to detail, and the ability to prioritize competing demands in a fast-paced environment. Confidentiality and discretion are paramount due to the handling of sensitive information.

Requirements

Responsibilities

  • Manage incoming and outgoing mail, deliveries, and office logistics with accuracy and efficiency
  • Develop, implement, and ensure consistent adherence to office policies and procedures
  • Identify opportunities for process improvements and implement systems to enhance efficiency and scalability
  • Support office planning, including layout changes and office moves, ensuring minimal disruption and full operational readiness
  • Partner with IT to resolve in-office technical issues and ensure employees have access to all required tools
  • Manage US team travel end-to-end, ensuring seamless coordination, adherence to company policy, and a high-quality employee experience
  • Own vendor relationships and contracts (e.g., cleaning, storage, facilities), holding vendors accountable to service standards, timelines, and cost efficiency
  • Act as the primary liaison with building management to resolve office-related issues with urgency and ownership
  • Lead planning and execution of office events and activations, ensuring all details are proactively managed and delivered to a high standard
  • Support onboarding logistics, ensuring all new hires are fully set up and operational on day one
  • Manage internal communications, including intranet updates and promotion of US team initiatives and events
  • Provide dedicated executive support to the President of North America, including complex calendar management, travel coordination, and expense management, with a proactive and strategic approach to prioritization
