About The Position

Resources for Human Development (RHD) is seeking an organized and detail-oriented Office Manager to support the daily operations of our program. The Office Manager plays a key role in ensuring efficient administrative, fiscal, and human resources processes while providing supervision to administrative support staff. Requirements

  • High School Diploma or GED and 5 years of related administrative experience; or
  • Associate Degree and 3 years of related administrative experience; or
  • Bachelor's Degree and 1 year of related administrative experience.
  • Strong organizational and time management skills.
  • Experience with office administration and record management.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities while maintaining attention to detail.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Valid Pennsylvania driver's license with at least three (3) years of driving experience.
  • Current Child Abuse, Criminal Background, and FBI Clearances (or ability to obtain prior to employment).
  • Reliable transportation for travel between program locations as needed.

Responsibilities

  • Manage daily office operations and administrative functions.
  • Maintain participant and employee records in compliance with agency and regulatory requirements.
  • Conduct routine audits of files and documentation for accuracy and compliance.
  • Order and maintain office supplies and equipment.
  • Answer and direct incoming phone calls and correspondence.
  • Maintain employee training, certification, and compliance tracking systems.
  • Assist with participant admissions, transfers, and other administrative documentation.
  • Process accounts payable invoices and maintain vendor relationships.
  • Assist with site fund management and reconciliation.
  • Maintain participant financial tracking systems.
  • Review financial records and assist with reporting and documentation.
  • Assist with payroll, onboarding, and employee documentation.
  • Coordinate new hire paperwork and training records.
  • Maintain personnel files and required employment documentation.
  • Support recruitment and staffing efforts as needed.
  • Supervise administrative support staff, including Administrative Assistants, Receptionists, and File Clerks.
  • Provide guidance, training, and support to ensure efficient office operations.
