About The Position

Carefirst Seniors & Community Services Association is a non-profit charitable community services agency established since 1976. Our spectrum of services has grown from the delivery of Chinese meals-on-wheels service to a full range of community support services, covering the whole Greater Toronto Area. With a staff of more than 550 members (including full-time and part-time staff) and the help of a pool of 850 active volunteers, we serve over 15,000 clients a year, including seniors, adults, youth with physical, social, emotional and health challenges. 3,000 of whom are “home-bound” and frail. We are currently seeking a new position of Office Manager at our Administration team.

Requirements

  • University degree in Human Resources Management or Business Administration
  • 5 years of related experience in a fast-paced clinic or health care setting preferred
  • Demonstrated previous experience managing or coordinating projects, including planning, scheduling, stakeholder coordination, and reporting
  • Proficient computer skills in Microsoft Office, with EMR (TELUS Practice Solutions) knowledge considered an asset
  • Knowledge of current best practices on office procedures, the Employment Standards Act, and the Occupational Health & Safety Act
  • High degree of judgment, critical thinking, and the ability to maintain confidentiality
  • Efficient, courteous, and professional, with excellent communication and interpersonal skills
  • A well-defined sense of diplomacy, including solid negotiation, conflict resolution, and people management skills
  • Superior time management and multitasking skills, with the ability to prioritize tasks with minimal supervision
  • Proficiency in English (Cantonese and Mandarin are assets)
  • Valid Ontario driver's license
  • Current police vulnerable sector check completed within one year

Responsibilities

  • Support new office(s) administrative functions across multiple sites to ensure organizational effectiveness and efficiency
  • Provide direct administrative and project coordination support to the Director of Strategy, Innovation and Development on various matters
  • Maintain accreditation documentation, policy registers, and supporting evidence repositories using an accreditation management system
  • Support continuous quality improvement (CQI) initiatives, including the Plan-Do-Study-Act (PDSA) cycles, committee scheduling, minute-taking, and follow-through on action items
  • Coordinate various projects and quality improvement initiatives end-to-end, including scoping, planning and execution
  • Liaise with internal stakeholders, vendors, and external partners to support timely project delivery
