About The Position

Luxury Presence is seeking an Office Manager for its Scottsdale office, a key cultural and operational hub. This role is responsible for the day-to-day management of the office space, including vendors, IT setup for new hires, events, and ensuring the office is a positive and intentional environment. This is a high-trust, high-visibility position where the Office Manager will be the primary point of contact for employees and leaders regarding office operations.

Requirements

  • 3+ years of experience in office management, executive assistant, or operations coordinator roles, preferably at a fast-growing company.
  • Proven ability to manage a busy office with multiple stakeholders and competing priorities.
  • Comfort with Tier 1 IT troubleshooting.
  • Familiarity with standard SaaS tools (Google Workspace, Slack, Zoom, basic A/V).
  • Experience managing vendors and negotiating contracts.
  • Experience planning events and culture-building activities.
  • Ability to be anticipatory, acting on needs before being asked.
  • Demonstrated ability to move quickly, follow through, and close loops.
  • Capacity to remain calm under simultaneous demands.
  • Ability to handle sensitive information and leader requests with maturity and discretion.
  • A proactive and responsible attitude with a strong sense of ownership.

Responsibilities

  • Manage the day-to-day operations of the Scottsdale office, including supplies, snacks, mail, vendors, cleaning, facilities, and security.
  • Anticipate office needs and proactively address issues with supplies, equipment, or facilities.
  • Source, negotiate, and manage vendor relationships, ensuring high standards of service.
  • Ensure new hires have a working laptop, monitor, badge, and desk on day one.
  • Resolve Tier 1 IT issues, including peripherals, A/V, conference rooms, and basic troubleshooting.
  • Partner with the central IT team for escalated IT issues and ensure resolution.
  • Plan and execute in-office events such as team lunches, happy hours, celebrations, and holiday activities.
  • Enhance the physical office space to create an intentional and energizing environment.
  • Set a positive and welcoming tone for the office.
  • Support senior leaders by managing operational tasks, confidential information, and visitor interactions with discretion.
  • Take ownership of the office experience and ensure all operational aspects are handled efficiently.
