About The Position

Luxury Presence is seeking an Office Manager for its Scottsdale office. This role is crucial for maintaining the cultural and operational hub of the company in Scottsdale. The Office Manager will be responsible for the day-to-day operations of the office, including managing vendors, IT setup for new hires, planning events, and ensuring the office environment is intentional and energizing. This is a high-trust, high-visibility position where the Office Manager will be the primary point of contact for employees and leaders regarding office operations, ensuring the smooth functioning of the space.

Requirements

  • 3+ years of experience in office management, executive assistant, or operations coordinator roles, preferably at a fast-growing company.
  • Proven ability to manage a busy office with multiple stakeholders and competing priorities.
  • Comfort with Tier 1 IT troubleshooting and standard SaaS tools (Google Workspace, Slack, Zoom, basic A/V).
  • Experience managing vendors and negotiating contracts.
  • Experience planning engaging events and culture-building activities.
  • Ability to be anticipatory, acting on needs before they are expressed.
  • Demonstrated ability to move quickly, follow through, and close loops.
  • Capacity to remain calm under simultaneous demands.
  • Warm and present demeanor, making people feel welcome.
  • Discretion in handling sensitive information and requests.
  • A strong sense of ownership for the office experience.

Responsibilities

  • Manage the day-to-day operations of the Scottsdale office, including supplies, snacks, mail, vendors, cleaning, facilities, and security.
  • Anticipate office needs and proactively address issues before they arise.
  • Source, negotiate, and manage vendor relationships, ensuring high standards of service.
  • Ensure new hires have all necessary equipment (laptop, monitor, badge, desk) on day one.
  • Resolve Tier 1 IT issues, such as peripherals, A/V, and basic troubleshooting.
  • Collaborate with the central IT team for escalated issues and ensure resolution.
  • Plan and execute in-office events like team lunches, happy hours, celebrations, and holiday activities.
  • Enhance the physical office space to create an intentional and energizing atmosphere.
  • Set a positive and welcoming tone for the office.
  • Take over operational tasks from senior leaders to allow them to focus on business objectives.
  • Handle confidential information, leader requests, and visitor interactions with discretion and professionalism.
