About The Position

THE OFFICE MANAGER IS COMMITTED TO SUPPORTING LOUISIANA BRIDGE BUILDERS BY ENSURING THE EFFICIENT, ORGANIZED, AND PROFESSIONAL OPERATION OF THE PROJECT OFFICE ENVIRONMENT. THIS ROLE SUPPORTS A LARGE-SCALE INFRASTRUCTURE PROJECT BY OVERSEEING ADMINISTRATIVE OPERATIONS, COORDINATING OFFICE LOGISTICS, MANAGING VENDORS AND SUPPLIES, AND SERVING AS A CENTRAL POINT OF CONTACT BETWEEN PROJECT TEAMS, CORPORATE OFFICES, AND STAKEHOLDERS.

Requirements

  • Effectively communicate in a positive and professional manner through written and verbal communications in all interfaces with customers/public, fellow employees, vendors, etc.
  • Ability to use appropriate computer programs (including, but not limited to, Microsoft Office Suite) which includes having proficient computer skills and the ability to adapt and learn as programs and processes change.
  • Ability to work as a team member and exert initiative to work independently to reach a goal.
  • Ability to embrace change in the workplace while encouraging others to seek innovative approaches.
  • Ability to function effectively as a team player and collaborator.
  • Ability to work a flexible work schedule, additional and/or different hours, including but not limited to nights, weekends, and/or holidays, as needed, to best serve the business operations.

Responsibilities

  • Oversee day-to-day office operations to ensure smooth and efficient processes
  • Manage office supplies, inventory, and ordering
  • Coordinate meetings, appointments, and office events, including logistics
  • Serve as the first point of contact for visitors and maintain reception operations
  • Maintain physical and digital filing systems for organization and compliance
  • Track and support office-related budgets and expenses
  • Manage incoming calls, emails, and correspondence
  • Provide administrative support to staff and leadership
  • Ensure office cleanliness, organization, and overall functionality
  • Assist with HR coordination such as onboarding, compliance posters, etc.
  • Manage vendors and service providers (cleaning, maintenance, etc.)
  • Coordinate office projects (outfitting, moves, renovations, IT setups)
  • Support scheduling and calendar coordination for leadership as needed
  • Ensure compliance with health and safety standards
  • Prepare reports, documents, and presentations for management
  • Assist with employee engagement activities and team events
  • Performing all other duties and responsibilities as assigned.
