About The Position

Seeking an experienced Office Manager / Firm Administrator to oversee daily office operations in a public accounting environment. This role serves as the administrative hub of the office, ensuring efficient workflows, excellent client service, and smooth coordination of tax, billing, and office administration processes. The position requires managing day-to-day operations, coordinating tax return workflows, handling client communications, organizing filing systems, preparing invoices, supporting bookkeeping and payroll, and maintaining workflow tracking. Additionally, the role involves coordinating office vendors, equipment, supplies, and maintenance, and assisting with administrative reports and special projects. During tax season, responsibilities include managing incoming client tax documents, tracking return status, preparing completed packages for delivery, and working overtime in a fast-paced environment.

Requirements

  • 3 to 5 years of office management or administrative experience.
  • Previous experience in a CPA firm, public accounting, tax practice, or similar professional services environment.
  • Strong organizational, communication, and customer service skills.
  • Ability to manage multiple priorities in a deadline-driven environment.
  • High attention to detail and ability to maintain confidentiality.
  • Proficiency with Microsoft Office.

  • Experience with QuickBooks.
  • Experience with tax preparation or workflow software.
  • Knowledge of digital document management systems.
  • Billing, accounts receivable, bookkeeping, or payroll experience.
  • Familiarity with Google Workspace or similar tools.

Responsibilities

  • Manage day-to-day office operations and administrative procedures.
  • Coordinate tax return workflow from document collection through final delivery.
  • Handle client communications and provide exceptional customer service.
  • Organize and maintain electronic and physical filing systems.
  • Prepare client invoices, monitor accounts receivable, and record payments.
  • Support bookkeeping, payroll administration, and billing activities.
  • Maintain workflow tracking and digital document management.
  • Coordinate office vendors, equipment, supplies, and maintenance.
  • Assist with administrative reports, renewals, and special projects.
  • Manage incoming client tax documents and workflow.
  • Track tax return status and document processing.
  • Prepare completed tax return packages for delivery.
  • Support a fast-paced environment with overtime required during peak tax season.
