About The Position

Primary tasks consist of assisting with the financial operations and processes of the Early Childhood Center (which includes Head Start, Early Head Start, Child Care, and Bayfield 4K Program) in compliance with the State of Wisconsin and Federal Head Start/Early Head Start Performance Standard. Responsible for performing a variety of secretarial duties in support of the ECC operations, families, and staff. Provides office professionalism - realizing that this position is the first point of contact for visitors and telephone calls.

Requirements

  • High level of knowledge in office procedures, computers, and accounting principles.
  • Knowledge of Microsoft Office programs required.
  • Minimum of high school diploma, HSED or GED required.
  • A high level of computer skills required; training and/or experience in accounting systems & Excel spreadsheets, required.
  • Experience with Microsoft Office programs required.
  • Must possess good written and interpersonal communication skills, including the ability to work effectively as part of a team.
  • Must have good organizational skills.
  • Must submit information for mandatory criminal background check to Human Resources Director upon application.
  • Adherence to the ECC Confidentiality Policy and Standards of Conduct is required at all times.
  • Knowledge/experience with a variety of office equipment.
  • Must have a valid driver’s license.
  • Vehicle insurance coverage is required for any vehicle used for work purposes.
  • Must maintain driver’s eligibility as a condition of employment.

Nice To Haves

  • Post-secondary training, education, or experience in office management/secretarial science, or business/administration to include accounting experience is highly desirable.
  • Prefer eligibility to be put on the Tribe’s vehicle insurance policy.

Responsibilities

  • Assist with the operation and implementation of fiscal management functions of the Early Childhood Center.
  • Work in conjunction with the ECC Director and management staff.
  • Greet visitors in a courteous and professional manner; Answer telephone, route calls, and take messages as needed.
  • Assist with program monitoring, self-assessment, human resources, record keeping, and reporting systems.
  • Perform office duties, including: filing and tracking systems; typing correspondence and reports as directed; operate computer, fax and copying machines; distribute mail and resources daily.
  • Coordinate purchase requisitions and purchase orders.
  • Track ECC financial accounts and expenditures using existing financial management system and run computerized financial reports monthly.
  • Coordinate travel arrangements and ensure proper procedures are followed for the ECC Staff and maintain contact with bus drivers while they're out on routes.
  • Work with Director and Assistant Director to develop and ensure budgets are monitored closely and spending is conducted in a consistent and reasonable manner in accordance with individual program guidelines.
  • Assist with budget development of the Community Assessment (every 3 years - annually) and grant applications.
  • Prepare agendas with staff input, record and archive minutes.
  • Maintain an organized reception area to accommodate the needs of children and families served.
