About The Position

Internet Vikings is seeking a highly organized, proactive, and service-oriented Associate to join their Stockholm office. This role involves providing dedicated support to the CEO while also ensuring the smooth and efficient operation of the office. The successful candidate will act as a trusted support function, focusing on effective coordination, strong execution, and maintaining a professional workplace experience. The position is split between CEO Associate duties (80%) and Office Management duties (20%).

Responsibilities

  • Provide high-level administrative support directly to the CEO
  • Manage and coordinate the CEO’s calendar, meetings, priorities, and daily schedule
  • Organize business travel arrangements, including flights, accommodation, itineraries, and meeting logistics
  • Prepare meeting materials, presentations, documents, and follow-up actions
  • Handle confidential information with professionalism, discretion, and sound judgment
  • Manage the daily operations of the office and ensure everything is well-organized and running smoothly
  • Coordinate office activities, including team events, lunches, breakfasts, and other employee initiatives
  • Order and maintain office supplies, equipment, and general office needs
  • Ensure the office environment is welcoming, functional, and aligned with company culture
  • Ensure compliance with relevant company policies and health & safety regulations.
