About The Position

We are seeking a highly organized, proactive, and service-oriented Office Manager and Executive Assistant to oversee daily office operations in our newly launched DC office and provide onsite executive support for the senior leadership team in DC. This role is central to ensuring a professional, efficient, and welcoming workplace environment while also serving as a trusted partner to senior leadership to creatively solve problems, foster our company’s culture, and support our operations as we continue our growth in DC. The ideal candidate thrives in a fast-paced environment, anticipates needs, and demonstrates sound judgment, discretion, and attention to detail.

Requirements

  • 4+ years of experience in office management, executive support, or operations roles (experience supporting C-suite leaders strongly preferred).
  • Exceptional organizational and time-management skills with the ability to handle competing priorities.
  • Strong written and verbal communication skills.
  • High degree of professionalism, discretion, and sound judgment when handling confidential information.
  • Proficiency in Microsoft Office Suite and Slack; comfort learning new systems and tools.
  • A proactive, solution-oriented mindset and the ability to thrive in a dynamic, fast-paced environment.

Responsibilities

  • Oversee and manage general office operations to ensure a professional, organized, and efficient work environment.
  • Serve as the primary point of contact to the office’s landlord and building management team.
  • Management of the functionality of spaces within the office including managing conference room scheduling, bookings, catering, and any shared communal space utilization.
  • Support onboarding and offboarding processes for a growing office, including workspace preparation, access coordination, and orientation logistics.
  • Maintain office policies, procedures, and operational best practices to support a seamless employee experience.
  • Plan and execute office events and culture-building initiatives that foster collaboration and engagement, including assisting with local internal offsite events including creating content, liaising with vendors, negotiating contracts, and swag development.
  • Manage and oversee the work of the cleaning company and Day Porter.
  • Oversee pantry and supply management and maintain under budget.
  • Manage calendars, scheduling, and logistics for members of the senior leadership team.
  • Prepare meeting materials, agendas, and follow-ups.
  • Coordinate travel, internal meetings, and team events.
  • Expense management and time submissions for senior leadership.
  • Help prioritize and manage incoming requests and competing demands.
