About The Position

Havenly Brands is seeking an exceptional Executive Assistant & Office Manager to serve as a trusted partner to their CEO and the heartbeat of their Denver headquarters. This is a highly visible, high-impact role that sits at the intersection of executive partnership and workplace operations. The role involves owning the CEO's time, communications, and priorities, as well as ensuring the Denver office is a positive and productive environment. The position requires sound judgment, the ability to move fast without losing precision, and the skill to build systems that enhance effectiveness. This role is full-time, in-person, 5-days/week at the Denver headquarters.

Requirements

  • 3+ years of experience supporting a senior executive, ideally a CEO or C-suite leader, with integrated office management responsibilities.
  • Exceptional written and verbal communication skills.
  • Strong organizational skills and the ability to manage competing priorities without dropping balls.
  • High discretion, executive presence, and professionalism.
  • Genuine curiosity and comfort with AI tools and emerging technology.
  • Applicants must be currently authorized to work in the United States on a full-time basis.

  • Experience in a high-growth, consumer-facing, or startup environment strongly preferred.

Responsibilities

  • Own and manage the CEO’s complex, dynamic calendar, adapting quickly to shifting priorities and last-minute changes.
  • Manage the CEO’s inbox: triage inbound, draft responses, flag what needs visibility, and ensure follow-through.
  • Act as a trusted gatekeeper across all communication channels, exercising strong judgment on what rises to CEO level vs. what can be handled independently.
  • Manage select special projects and cross-functional initiatives on behalf of the CEO, ensuring alignment and timely execution.
  • Manage recurring leadership programs: action planning sessions, strategy days, offsites, and leadership meetings.
  • Plan and execute all domestic and international travel for the CEO, including flights, hotels, ground transportation, itineraries, and visa coordination.
  • Coordinate travel for Leadership Team members and broader team travel as needed.
  • Manage complex, multi-leg itineraries with an eye on time efficiency and cost.
  • Troubleshoot real-time travel disruptions calmly and decisively.
  • Oversee day-to-day Denver office operations, ensuring things run smoothly, efficiently, and on-brand.
  • Maintain office systems, supplies, and vendor relationships to support team productivity.
  • Support onboarding logistics for new hires, including workspace setup, office orientation, and the first-day experience.
  • Coordinate weekly team lunches and in-office engagement initiatives.
  • Plan and execute special events, such as leadership team dinners, executive offsites, holiday celebrations, hackathons, and company-wide initiatives.
  • Foster a welcoming, inclusive, high-energy office culture that reflects Havenly's identity.
  • Build and refine systems that improve executive operations, communication flow, and office coordination.
  • Identify inefficiencies and implement scalable solutions proactively.
  • Actively integrate AI tools into daily workflows to enhance productivity.
