About The Position

800 New Look is seeking a dependable, organized, and detail-oriented Office Manager / Accounting Specialist to oversee the day-to-day administrative and accounting functions of our office. This is a hands-on position that supports multiple areas of our roofing and home improvement business, including accounting, insurance billing, payroll, customer service, sales, and production. The ideal candidate is comfortable managing multiple priorities independently and understands the importance of accuracy, organization, and follow-through.

Requirements

  • Previous experience in office management, bookkeeping, accounting, or a similar administrative/accounting role
  • Experience with accounts payable and accounts receivable
  • Strong organizational skills and attention to detail
  • Ability to manage multiple responsibilities and deadlines
  • Comfortable working independently and taking ownership of assigned responsibilities
  • Strong written and verbal communication skills
  • Professional and helpful when working with customers, employees, vendors, and outside professionals
  • Comfortable working with accounting software, Microsoft Office, email, and other business systems

Nice To Haves

  • Payroll and reconciliation experience preferred
  • Construction, roofing, insurance restoration, or similar industry experience is a plus

Responsibilities

  • Manage accounts payable (AP) and accounts receivable (AR)
  • Prepare and make bank deposits
  • Process customer credit card payments
  • Perform monthly account and bank reconciliations
  • Maintain accurate accounting records and supporting documentation
  • Assist with general bookkeeping and accounting functions
  • Work with the company's CPA during tax preparation and year-end reporting
  • Compile and submit required 1099 information to the CPA
  • Maintain organized financial files and records
  • Prepare and submit billing to insurance companies
  • Manage company insurance policies, documentation, renewals, and related administrative needs
  • Coordinate and complete annual insurance audits
  • Maintain required insurance records and certificates
  • Manage payroll processing
  • Coordinate employee onboarding and required paperwork
  • Maintain employee records and documentation
  • Assist with payroll-related reporting and administrative requirements
  • Maintain day-to-day office organization and administrative operations
  • Answer and assist customers with billing, project, payment, and general questions
  • Support the Sales Manager and Production Manager with administrative needs
  • Maintain office supplies and place orders as needed
  • Organize, maintain, and file company records and documentation
  • Assist management with various administrative projects and tasks
  • Help ensure communication and paperwork flow smoothly between the office, sales, production, customers, vendors, and other business partners
