About The Position

Olympus Insurance Company is seeking an Office Coordinator to join their Jacksonville office. This full-time, non-exempt, hourly position is responsible for managing the front office and day-to-day operations, ensuring a welcoming, organized, and engaging workplace. The role also involves supporting the Claims Administration team, providing administrative assistance to agents and policyholders, and contributing to a positive employee experience. The ideal candidate is someone who enjoys helping people, is highly organized, and can be relied upon to keep operations running smoothly.

Requirements

  • High school diploma or GED.
  • At least 2 years of office administration, office coordination, receptionist, or similar administrative experience.
  • Professional customer service experience and a genuine enjoyment of helping others.
  • Strong organizational skills and attention to detail.
  • Ability to juggle multiple priorities and interruptions.
  • Excellent written and verbal communication skills.
  • Professional, approachable demeanor.
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, and Teams.
  • Ability to work independently while collaborating with employees across the organization.

Nice To Haves

  • Experience with office operations, facilities, meetings, or events.
  • Experience in the property & casualty insurance industry.

Responsibilities

  • Welcome employees, candidates, vendors, and visitors, manage incoming calls and building access, and create a professional, friendly front-office experience.
  • Coordinate office and breakroom supplies, mail and packages, facilities requests, and vendor needs.
  • Maintain an organized and welcoming workplace.
  • Support company meetings, events, and employee activities with logistics such as food, refreshments, and supplies.
  • Provide friendly and professional support to agents, policyholders, vendors, and other partners.
  • Assist with service requests, enter policy and loss information, process documentation and correspondence.
  • Help dispatch new claims and provide administrative support to the Claims team.
  • Solve everyday questions and challenges, communicate information clearly, and connect individuals with the right resources.
  • Protect confidential information and deliver exceptional service.
