About The Position

American Crystal Sugar Company is looking for a talented individual to join our team as an Office Coordinator in Drayton, ND reporting to the Factory Manager with a dotted line to the Agronomy Manager. The purpose of this position is to coordinate and provide confidential support services and related activities for factory Ag and Operations management staff. The principal accountabilities include, but are not limited to: Lead and promote a positive work culture through Company Values of Safety, Integrity, Quality, Teamwork, and Accountability. Provides administrative and secretarial support to factory Operations and Ag management by maintaining and organizing schedules, meetings and company events. Greets and directs visitors, screens and directs incoming calls, sorts and distributes mail, coordinates mailings, maintains inventory of office supplies/forms and may coordinate factory telephone and other office equipment repair and maintenance. May coordinate travel arrangements. Provides typing and data entry as needed prepares and sends mass text messages related to pertinent harvest information and meeting notices Gathers data from SAP/LIMS/PIMS to create the factory operating report, and operation supplies and costs report. Data is displayed in both report and graph formats. Maintains the factory’s master files which includes but are not limited to: Maintains a current and accurate master electronic file of forms for all environmental, maintenance, process, quality assurance, food safety and OSHA forms. Creates and releases requisitions for Operations and Ag. Monitors requisitions and creates/ monitors work orders. Approves online invoices within authorized limits and service receipts as directed. Compiles information and assists in completing and tracking Ag and Maintenance budgets, business plans, March and November forecasts and budget projection spreadsheets. Participates in the interviewing of Harvest Communication Coordinators (temporary service) and may fill in if needed for Harvest Communication Coordinators. Prepares an adequate supply of forms for each receiving station scale house to complete harvest. Assembles appropriate record keeping material for harvest personnel. During campaign, the incumbent coordinates daily rehaul information to the contract hauler regarding which sites are being hauled to the factory. Collects all information required to maintain the District harvest Comparison files that are used to determine the final harvest metrics for Ag performance reviews. The Office Coordinator serves as a “Power User” on SAP, Microsoft Office and other software by providing assistance and training as needed.

Requirements

  • Prior experience and knowledge of office administration
  • General accounting and mathematical skills
  • Excellent oral and written communication skills
  • Knowledge and proficiency in the use of computer systems and in Microsoft Word, Excel, PowerPoint and Access
  • Ability to compose professional written communications
  • Ability to learn the Company’s various software applications
  • Must be able to work in a fast-paced environment
  • Must be able to work independently and complete job functions with a high degree of accuracy and with frequent and changing deadlines.
  • Must possess team skills as well as the ability to use sound judgment and discretion.
  • Sensitivity to the confidentiality of shareholders’ and growers’ requests is very important.
