About The Position

The Office Coordinator, under direction of the Director of Operations Property Support, will serve as a courteous, organized, and professional first point of contact for all guests at our Home Office location. The Office Coordinator is responsible for delivering excellent customer service, managing various administrative tasks, and ensuring positive interactions with our internal and external customers to maintain the company’s positive reputation. The Office Coordinator will take pride in serving others and delivering a caring and professional experience for our residents, our client-owners, and our fellow team members.

Requirements

  • High School Diploma or GED.
  • Minimum of 3 years experience as a receptionist, administrative/office assistant, or similar role within a multi-tenant office or professional building environment.
  • Professional business attire.
  • Ability to operate common office equipment including printers, laminator, phone directory, and phone system.
  • High proficiency in Microsoft Word, Outlook, Teams, Excel, and other Microsoft Suite.
  • Proficiency of the English language in reading, writing, and verbal communication.
  • Previous experience in a multi-family residential property management environment, with a demonstrated understanding of tenant interactions and property management operations.
  • Familiar with federal, state, and jurisdictional laws and regulations concerning multi-family housing, Fair Housing, and team member safety.

Responsibilities

  • Providing a welcoming and friendly environment for residents, commercial tenants, investors, client-owners, and all guests to our Home Office location.
  • Assisting all walk-in visitors by understanding their needs, directly resolving needs as directed, or handing off the visitor to the appropriate person to resolve the need.
  • Answering incoming calls and ensuring the inquiry is placed with the right team or team members.
  • Handling and resolving emotionally charged or escalated customer situations with professionalism, empathy, and effective problem-solving skills, ensuring a positive outcome and maintaining the company’s reputation for excellent customer service.
  • Overseeing office supply inventory for the Home Office, including ordering and restocking as needed.
  • Ensuring fiscal responsibility in all areas of work.
  • Processing incoming and outgoing mail and deliveries for the Home Office commercial tenants.
