About The Position

This position serves as the assistant to the regional supervisor and is responsible for maintaining various office functions. The role involves managing records requests, general office files, and coordinating special projects. The Office Coordinator also acts as a liaison with other departments and leadership within the Department of Veterans Affairs. This is a full-time, salaried position with a monthly salary range of $4,128 - $5,450, with an anticipated starting salary of $4,128/monthly. Provisions of the relevant collective bargaining agreement apply to the filling of this position. The work location is in Cook County, Illinois.

Requirements

  • Requires knowledge, skill and mental development equivalent to two (2) years of secretarial/business college, or completion of high school and two (2) years of related office experience, or two (2) years of independent business experience.
  • Requires ability to pass a background check.
  • Requires use of agency-supplied equipment (mobile phone, laptop, etc.).
  • Requires ability to attend seminars, conferences, and trainings to stay current on methods, tools, ideologies, or other industry related topics relevant to the job duties.
  • Requires ability to travel in the performance of duties, with overnight stays as appropriate.
  • Requires appropriate, valid driver’s license.
  • This position is considered light work as defined by the U.S. Department of Labor (20 CFR 404.1567(b)). Light work involves lifting no more than 20 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds. This job may require a good deal of walking or standing or involves sitting most of the time with some pushing and pulling of arm or leg controls.
  • Overtime is a condition or employment, and you may be required to work overtime including scheduled, unscheduled, or last-minute overtime.

Nice To Haves

  • One (1) year of experience in sales, public relations, welfare work or any other type of work involving extensive public contact.
  • Extensive knowledge of office practices, procedures, and programs.
  • Extensive knowledge of composition, grammar, spelling and punctuation.
  • Extensive knowledge of basic mathematics.
  • Ability to follow oral or written instructions.
  • Ability to operate commonly used manual and automated office equipment and perform routine maintenance.
  • Ability to utilize a personal computer with knowledge of Microsoft Word, Access, Webex and Excel software.

Responsibilities

  • Serves as the assistant to the regional supervisor.
  • Maintains tracking system of records requests received and processed.
  • Maintains General Office files, including the retrieval of, distribution of, and returning to shelf of general office files daily weighing up to 20 pounds.
  • Conducts special projects and studies by gathering data, coordinating, monitoring, and completing assigned projects.
  • Serves as a liaison with other departments, support staff, and leadership within Department of Veterans Affairs.
  • Performs other duties as required or assigned which are reasonable and within the scope of the duties enumerated.
