About The Position

The Office Coordinator runs the office for the Sales Management team by providing advanced, confidential administrative, and operational support to the Sr. VP of Sales, Directors of Sales and Sales Management associates. Provides day-to-day direction, workflow coordination and priority guidance for the Sr. Administrative Assistant for Sales Managers, who reports directly to this position. Coordinates reports, calendars, scheduling, communications, meetings, travel, expense processing, records and office workflow to ensure smooth daily operations and timely follow-up on key initiatives. Serves as a central resource and liaison for Sales Management by preparing correspondence and reports, organizing information, responding to routine and non-routine requests, supporting internal and external communications, and helping drive team efficiency, organization and overall sales effectiveness. Requirements

  • Associate’s degree or equivalent experience is preferred.
  • Minimum of 5 years of progressively responsible administrative, office coordination or executive support experience, preferably supporting sales leadership, field operations, Sales Management or a comparable business function.
  • Strong typing skills, with a minimum of 50 words per minute and emphasis on accuracy.
  • Ability to effectively obtain and convey information by telephone, email, voicemail and other communication tools.
  • Advanced PC and office technology skills, including demonstrated proficiency with Microsoft Word, Excel, PowerPoint, Outlook and related systems used to prepare reports, track information, coordinate schedules and manage communications.
  • Proficient user of Copilot and other AI-related tools.
  • Ability to work independently with minimal direction, manage competing priorities, anticipate needs, take initiative and maintain accuracy in a fast-paced, deadline-driven environment.
  • Strong organizational, analytical, problem-solving and follow-through skills, with high attention to detail and the ability to maintain confidential information.
  • Ability to deliver quality service and meet established deadlines.
  • Ability to work in a team environment and willingly share knowledge with other associates.

Responsibilities

  • Provides advanced, confidential administrative and operational support to the Sr. VP of Sales, Directors of Sales and Sales Management team, exercising independent judgment and discretion in handling time-sensitive information and priorities; provides day-to-day direction, workflow coordination and priority guidance for the Sr. Administrative Assistant for Sales Managers, who reports directly to this position.
  • Manages calendars, schedules appointments, coordinates meetings, prepares agendas and materials, records follow-up items and helps ensure key Sales Management initiatives move forward timely.
  • Coordinates, prepares and distributes reports, correspondence, memos, presentations, special reports and other documents using multiple office technology and software applications, including Co-Pilot, Word, Excel, PowerPoint and related productivity tools.
  • Serves as a liaison between Sales Management, Regional Directors, Recruiting Sales Managers, Sales associates, Home Office departments, external contacts and other business partners to furnish, obtain and communicate information as directed.
  • Coordinates travel arrangements, meeting logistics and expense vouchers as requested for Sales Management leaders and related business activities.
  • Receives and screens telephone calls, emails, letters and visitors; responds to routine and non-routine requests for information and refers complex matters to the appropriate leader or department.
  • Organizes and maintains electronic files, records, correspondence and Sales Management materials in accordance with established procedures and follows up on pending matters.
  • Organizes and expedites the flow of work, reports, requests and communications through the Sales Management office; initiates follow-up action to support deadlines, service expectations and business priorities.
  • Maintains and orders forms, supplies and other office resources needed to support Sales Management operations.
  • Meets expectations for attendance and punctuality in accordance with supervisor expectations and WoodmenLife policy; performs other duties and works overtime as assigned by management.
