About The Position

This position is funded by a grant for a duration of time as defined by the grantor. The Office Coordinator works under the supervision of the manager to process and monitor insurance claims, ensuring accuracy, timeliness, and compliance with program requirements. This role identifies opportunities to improve billing processes and collaborates with nursing staff to ensure all billable services are captured and submitted properly. The position supports billing operations by maintaining compliance with CHANT/CSS program guidelines and assisting in planning, implementing, and monitoring administrative billing activities.

Requirements

  • Four (4) years of medical billing, bookkeeping, data processing, or statistical work and a high school diploma or GED, OR Three (3) years of progressive secretarial, bookkeeping, payroll, data processing, or statistical work and one (1) year of college study (30 semester hours or 36 quarter hours).
  • PROOF OF EDUCATION, TRAINING, AND/OR EXPERIENCE IS REQUIRED.
  • Knowledge of medical terminology and healthcare billing practices.
  • Knowledge of modern office procedures, data entry systems, and computer applications.
  • Ability to communicate clearly and professionally, both verbally and in writing, with diverse populations.
  • Ability to analyze information, identify issues, and implement effective solutions.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Ability to organize work, manage multiple tasks, and meet deadlines in a fast-paced environment.
  • Ability to establish and maintain effective working relationships with staff, partners, and the public.
  • Proficient knowledge in Microsoft Office (Excel, Word, PowerPoint) and other applicable systems.
  • Must be able to type 25 words per minute.
  • Must be able to assist with community events as required.

Responsibilities

  • Prepares and submits medical billing claims, identifying and resolving errors in collaboration with the program's public health nurse supervisor and manager.
  • Enters vendor claims and patient encounters into PTBMIS to support provider payments and insurance processing.
  • Maintains accurate billing documentation in compliance with CHANT/CSS program guidelines.
  • Assists with updates to billing procedures and ensures adherence to current filing requirements.
  • Communicates with internal staff and external customers to address billing inquiries and provide information.
  • Trains Administrative Technicians on basic billing processes and procedures.
  • Supports billing operations by obtaining medical records and coordinating with external partners as needed.
  • Prepares reports and tracks data, including maintaining the Delegated Authority spreadsheet and assisting with mileage documentation.
  • Performs other related duties as required or directed.
