About The Position

True North Advisors is seeking a Front Office Coordinator to join our Business Operations team. This role serves as the first point of contact for visitors and callers, while providing administrative and operational support to the broader team to help deliver an exceptional client experience. This role also provides assistance with client and team event planning and other marketing-related tasks. This is a full-time position based in our Dallas office.

Requirements

  • Bachelor’s degree in business, finance, or related field required
  • Strong Outlook, PowerPoint, Word and Excel skills
  • Ability to maintain confidentiality when dealing with client matters
  • Must consent to and have favorable credit report and background check
  • Ability to consistently demonstrate True North’s Core Values

Responsibilities

  • Answer the company’s primary phone line and manage the phone system
  • Greet clients and guests - escort them to conference rooms and ensure rooms are prepared
  • Open and close the office each day following a daily checklist
  • Manage conference room scheduling throughout the day
  • Keep conference rooms, work rooms, and break rooms organized and clean
  • Coordinate catering and set-up for formal in-office lunches or company-wide events
  • Manage office mail receipt, sorting, and sending
  • Schedule and confirm meetings for advisors, as requested
  • Order office supplies and refreshments, maintaining spending within budget
  • Schedule repairs and maintenance for the office space when needed
  • Serve as main point of contact for building management and vendors who provide office services
  • Assist with client and employee event planning
  • Send client gifts, and log gifts in Compliance 11 program
  • Help prepare the PowerPoint presentation for monthly team meetings
  • Order printed materials (business cards, letterhead, cards, etc.)
  • Provide additional administrative and operational support as needed.
