About The Position

While working as our Office Coordinator, you will be tasked with fulfilling duties and performing tasks related to administrative support, facilities management and customer service. The person in this position assists with daily operational tasks supporting office operations and representing the business in a positive light.

Requirements

  • High School Diploma is required
  • 1-2 years of prior experience or training in front desk or similar customer service experience is necessary.
  • Solid understanding of computers, data entry, internet searches, the Microsoft Office suite and email applications.
  • Ability to write effective correspondence to customers and coworkers
  • Ability to pass a background check
  • Vision abilities required by this job include being able to see clearly at 20 inches or less, distinguish colors, and adjust focus
  • Mathematical abilities required by this job include reading a ruler, calculating simple costs, and other basic mathematical skills

Responsibilities

  • Greeting guests and candidates in a friendly and professional manner daily and ensure their meetings begin timely by alerting team members promptly.
  • Manage conference rooms and meeting rooms making sure they are stocked and clean after each meeting
  • Ensure flawless presentation of office spaces visible to guests
  • Collect will-call orders, give them to the arriving customer, and ensure they have terms or are paid before they leave
  • Accept incoming deliveries and route to appropriate team members
  • Control all deliveries between buildings in conjunction with front desk support at SF2
  • Maintain and manage SF1 facilities supplies inventory, ensuring accurate tracking and organization of supplies and materials.
  • Conduct weekly building inspections to identify facility maintenance needs, safety concerns, and operational issues.
  • Perform daily inspections of conference rooms to ensure cleanliness, functionality, and readiness for use.
  • Coordinate facility service calls and repairs with the Facilities Coordinator, serving as the primary on-site contact for vendors and contractors during scheduled work at the main office.
  • Respond to and assist with urgent facilities-related service tickets at the SF1 location, helping to ensure timely resolution of issues.
  • Complete weekly fleet inspections for vehicles assigned to SF1, documenting any maintenance, safety, or operational concerns and reporting findings as needed.
  • Work on administrative support projects and related clerical duties for HR, Marketing and IT teams as needed
