About The Position

The Office Coordinator coordinates the daily operational function of the department. The coordinator will work directly with director, manager, project managers, quality consultants, infection control nurses, data specialists, business analysts and patient satisfaction clerk to ensure optimal daily functions for office operations. Coordinates the activities for all personnel who perform clerical duties. Maintains software databases and troubleshoots all supporting equipment. Exports data from programs and prepares productivity reports. Interview, orient and train new staff members. Serve as educator/greeter for visitors to the department. Answers calls and processes service requests, purchase requisitions, and code and process invoices. Maintain technical files required by departments supported and regulatory agencies. Respond promptly, professionally and efficiently providing customer service-focused assistance. Must be able to handle multiple priorities and tasks, utilize effective verbal and written communication skills in highly emotional situations, work with minimal supervision, be self-motivated, flexible, versatile and professional.

Requirements

  • High School Diploma or GED Required
  • 3 years Basic Experience Required
  • Proficiency in Microsoft Office

Responsibilities

  • Has working knowledge of software applications to create, format, edit, and print correspondence, tables, reports, forms, labels and other printed material.
  • Types letters and memoranda from outlined notes, verbal direction or knowledge of department policy or procedures.
  • Prepares bank deposits/posts to General Ledger for service lines.
  • Reconciles all account activity with General Ledger.
  • Responds to account, invoice, and employee reimbursement inquiries concerning payment or open invoices and coordinates payment with Accounts Payable.
  • Oversees the coordination of special projects within the department.
  • May be responsible for tracking and coordinating activities and information required for special programs.
  • Responsible for generating reports and or meeting minutes.
  • Coordinates meetings, including copying collating and distribution of materials, preparation of agenda and packets.
  • Coordinates all clerical duties within the department by establishing priorities and resolving clerical issues related to daily operations.
  • Orders office supplies and maintains required inventories according to department standards.
  • Is familiar with and maintains good working relationships with inside purchasing staff and outside vendors.
  • Coordinates proper operation of office equipment, including copier fax printers by calling appropriate building support staff for repairs as needed on a timely basis.
  • Maintains department manuals for current updates.
  • Maintains necessary record/files for efficient operation of the department.
  • Maintains manager daily appointment calendars; makes travel and lodging arrangements as required.
  • Contributes to the recruitment and retention of talented staff through positive role-modeling, fostering peer relationships, and participating in preceptor and/or mentor programs thereby creating an environment for quality practice.
  • Assumes responsibility for their role in achieving/maintaining financial health of the organization by utilizing all resources effectively and efficiently; recommends change.
