About The Position

Responsible for the coordination of office tasks including but not limited to answering phones, registered patients, maintaining accurate electronic and paper medical records and providing excellent customer service. Requirements

  • Associate’s degree or some related health care college courses and/or degree preferred.
  • 3-5 years prior office coordination, scheduling, and/or reception experience within a physician practice setting preferred.
  • Must possess verbal and written skills to communicate effectively and courteously with a diverse group of professional and non-professional members of the health care team, patients and family/significant others.
  • Ability to utilize a personal computer and computer applications, including word processing and peripherals, facsimile, photocopier, microfiche and microfilm.
  • Excellent verbal communication skills, including medical terminology to assist with Physician queries.
  • Light physical effort sitting at a personal computer, with some light lifting of charts, standing/walking, manual dexterity and mobility, reaching, stooping, bending, kneeling, crouching.
  • Visual acuity and color perception.
  • Ability to use office equipment (computer, phone, printers and facsimile machines).
  • Non-patient care provider

Nice To Haves

  • Prior knowledge of Meditech System and/or EClinical Works beneficial.

Responsibilities

  • Greets and interacts with patients, providers, co-workers, and families in a professional and courteous manner at all times.
  • Maintains patient confidentiality, respect and HIPAA guidelines at all times.
  • Greets patients and completes check-in and check-out process making necessary changes and revisions to patient information including demographics, insurance, confidentiality authorization, etc. as needed. Scans patient insurance and ID cards. Assists patients with scheduling follow up appointments at time of check out.
  • Creates electronic medical record for all new and established patients.
  • Utilizes protocols created to scan all paper-recorded medical record information into the electronic medical record before upcoming patient appointments. Scans paper documents received by office into patient medical record and labels appropriate documents within the electronic medical record.
  • Answers incoming calls. Scheduling appointments, updating patient demographics, and reviews insurance needs with patients while scheduling appointments.
  • Collects copays, patient balances, and completes stocking purchase transactions at time of service.
  • Confirms daily charts for visits making sure that all necessary information from referring physicians and outside facilities are in place prior to the appointment.
  • Manages incoming Fax documents. Prepares faxes, copies, and packages medical records copies, disability forms and other correspondence requested by patient, provider officers, legal counsel or hospital daily, once written request for records is received and reviewed.
  • Appropriately identifies the needs of calls and transfers when necessary to appropriate provider or staff within the practice and elsewhere. This includes managing incoming calls received when providers are on call.
  • Confirms referrals from PCP are in place prior to patient visit.
  • Completes other duties as assigned
  • At times and when directed, may provide guidance and support to others while acting as a resource, trainer and/or preceptor.
