About The Position

Serves as an Office Coordinator for the Division of Forensic Services, Forensic Sciences Command (FSC). This role involves developing and maintaining databases to track various FSC activities such as media requests and expungements. The coordinator will review travel requests and maintain a travel database, assist the Command’s Administrative Assistant with the daily administration of outsourcing Forensic Biology/DNA cases, and aid in the daily administration of CheckPoint. The position also assists with the hiring and interview process, coordinates responses to annual reports, and compiles responses to the organizational dues reimbursement list. Additionally, the role documents the receipt and distribution of court cards, coordinates print requests for all laboratories statewide, and responds to inquiries through written or oral communications, applying general knowledge to agency operations, rules, and regulations. The Office Coordinator receives and screens incoming telephone calls, delivers incoming mail and prepares outgoing mail, and distributes necessary copies of reports, forms, and correspondence. This role also maintains office equipment and commodities, coordinating and tracking usage, maintenance, transport, and required paperwork. The coordinator communicates automotive updates to Command personnel and monitors the condition and usage of FSC vehicles, making recommendations for replacement and/or reassignment.

Requirements

  • Requires knowledge, skill and mental development equivalent to two years of secretarial/business college, or completion of high school and two years of related office experience, or two years of independent business experience.
  • Requires ability to keyboard accurately at 30 wpm.
  • Successful completion of initial and on-going, random, alcohol and drug screens.
  • Successful completion of a background investigation.
  • Successful completion of a polygraph examination.
  • Ability to maintain credibility in providing courtroom testimony.
  • Ability to adhere to Illinois State Police’s ethical standards.
  • Ability to adhere to Illinois State Police’s policies and procedures.
  • No felony or misdemeanor convictions.

Nice To Haves

  • At least two (2) years of experience in office practices, procedures, and programs including but not limited to responding to public inquiries and/or working with vendors.
  • At least two (2) years of experience using Microsoft Office suite programs or similar software for activities including but not limited to tracking and maintaining data; inventorying equipment and commodities; updating manuals and policies; and/or developing graphs.
  • At least two (2) years of experience in composing, editing, compiling, and/or preparing administrative reports and records.
  • At least two (2) years of experience in operating commonly used manual and automated office equipment and performing routine maintenance.
  • At least two years of experience in elementary budgeting and reconciling accounts.

  • Provides specialized office support to FSC Headquarters staff.
  • Serves as the FSC Automotive Equipment Officer.
  • Performs other duties as assigned or required.
