DPR Construction is seeking an Office Coordinator with at least 5 years of administrative experience. This position will work with all members of the organization, as well as our clients and vendors. Requirements

  • Reliable, detail-oriented team player with the ability to manage tasks, produce quality work and consistently meet deadlines.

  • 5+ years of administrative work.

Responsibilities

  • Greeting visitors and guests – direct to appropriate person/meeting room.
  • Answering calls and transfer/forward as needed; use VM/EM/cell/ speed dial list.
  • Opening, date stamping, sorting, and distributing mail. If time critical, email recipient.
  • Receiving incoming packages (UPS, Fed Ex, GSO, Barker Blue, Costco and Couriers ) and notifying recipients.
  • Preparing outgoing packages as needed including inter-office mail. Requesting delivery verification from shipping vendor and maintaining shipping log.
  • Coding Fed Ex and GSO account summary for region.
  • Ordering of office supplies.
  • Assisting marketing with shipping of holiday cards and gifts.
  • Assisting with all Business Unit special events, staff meeting, holiday parties and open house.
  • Directing e-faxes to the appropriate person.
  • Assisting with conference room reservations.
  • Assisting with conference room set-up for meetings and events. Directing catering vendors to appropriate room for set-up.
  • Assisting with daily lunch orders as needed.
  • Providing administrative support as needed.
  • Liaising with facilities manager and janitorial service; promptly reporting any maintenance issues.
  • Handling ordering of all computer and cell phone devices and accessories for employees. Getting approval and coordinating all iPad requests with IT.
  • Assisting with print materials and swag order for new hire All Aboard Orientation.
  • Coordinating, scheduling and managing the entire All Aboard 2-Day process for new hires; booking calendar, working with IT for computers, communicating with new hires.
  • Handling all Walk-In Craft applications and sending to appropriate person for review.
  • Assisting employees with any HR issues/questions.
