About The Position

This is the front door of Panda. You are the first person clients, partners, and guests meet, and the person who keeps the office running smoothly behind the scenes. You will own reception and office coordination, and you will provide light executive support to our leadership team. It is a blended role built for someone organized, warm, and proactive who wants to grow with a fast-moving company.

Requirements

  • High school diploma or equivalent.
  • Able to work onsite, full-time, at our downtown Jacksonville office.
  • Professional presentation and reliable attendance.
  • Organized and detail-oriented, comfortable juggling several tasks in a busy office.
  • A warm, professional communicator who makes people feel taken care of.
  • Proactive and dependable, the kind of person who spots what needs doing and handles it.
  • Discreet and trustworthy with confidential information.
  • Comfortable with Microsoft 365 (Outlook, Teams, Word, Excel) and quick to learn new tools.

Nice To Haves

  • Prior experience in reception, office coordination, or administrative support.
  • Experience supporting executives or leadership.
  • Exposure to a professional services, IT, or technology environment.

Responsibilities

  • Greet clients, partners, and guests warmly and professionally, in person and by phone.
  • Manage the main phone line, direct calls, take clear messages, and route requests to the right person.
  • Receive, sort, and distribute mail and deliveries, and handle outgoing shipments.
  • Keep the lobby, conference rooms, and common areas tidy, stocked, and guest-ready.
  • Order and manage office supplies, snacks, and equipment, and track spending against budget.
  • Coordinate with building management and outside vendors for maintenance, cleaning, and repairs.
  • Set up and reset conference rooms for meetings, and support onsite events and client visits.
  • Help onboard new hires with desk setup, supplies, and a smooth first day.
  • Maintain organized digital and physical filing so the team can find what it needs fast.
  • Assist with calendar scheduling and meeting coordination for the leadership team.
  • Help arrange travel, book reservations, and prepare simple itineraries.
  • Prepare and format basic documents, and assist with light project and follow-up tasks.
  • Handle sensitive information with discretion and confidentiality at all times.
