About The Position

As the first point of contact in person or by phone, the Coordinator is responsible for greeting clients, vendors, and other visitors and responding in a polite, friendly, and professional manner to all inquiries: from providing information, answering questions and concerns, or directing the appropriate member of the Real Estate Operations team to inquiries they cannot resolve.

Requirements

  • A minimum of two (2) years of relevant work experience in a client-facing environment or in the service industry.
  • High school or college education in a relevant field.
  • Attention to detail and accuracy.
  • Communication skills (listening, speaking and writing).
  • Knowledge of Microsoft Office (Word, Excel and Outlook).
  • Knowledge of French and English, written and spoken.

Nice To Haves

  • Knowledge of SAP or Yardi considered an asset.

Responsibilities

  • Respond to general inquiries about the property, providing basic leasing information via telephone, email or in person.
  • Enter service requests and incident notifications into property management software.
  • Coordinate access to suites for Minto staff when required and in support of the service coordinators.
  • Schedule appointments between residents and administration team.
  • Accept and acknowledge receipt of payments, and transfer to coordinators.
  • Perform opening and closing duties of the office including, locking and unlocking of the doors, keeping waiting/office area clean.
  • Answer calls and receive voicemails.
  • Handle mailing letters and parcels.
  • Monitor and stock office supplies.
  • Manage external vendors such as dry cleaners, office cleaners, etc.
  • Issue visitor parking passes.
  • Prepare correspondence and communications, as directed.
  • Coordinate with the building manager, cleaning and repair crews to solve office issues.
  • Support the team in their administrative tasks as needed.
  • Perform other duties within the scope, spirit and purpose of the job, as requested by management.
