About The Position

The Department of Corrections (IDOC) is seeking an Office Associate to support Administrative Review Board (ARB) chairpersons. This role involves coordinating, monitoring, and scheduling ARB hearings, as well as managing and tracking hearing documents, which may include legal and medical terminology. The Office Associate will collaborate with clerical staff to log incoming mail and contribute to the creation and editing of training materials for institution staff. Key responsibilities include keyboarding various documents, maintaining files, and monitoring special projects. This position is ideal for a detail-oriented individual who can effectively multitask.

Requirements

  • Requires knowledge, skill, and mental development equivalent to completion of high school and two (2) years of office experience.
  • Requires ability to keyboard accurately at 45 wpm.
  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen.
  • Required to utilize digital technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department.

Responsibilities

  • Works with Administrative Review Board (ARB) chairpersons in coordinating, monitoring and scheduling ARB hearings.
  • Receives, monitors and tracks Administrative Review Hearings documents to ensure information, some of which contains legal and medical terminology, is submitted accurately.
  • Works with other clerical staff to monitor and log incoming mail. Opens, date stamps, and logs daily incoming mail.
  • Provides input into the creation and editing of the training materials established for institution staff.
  • Keyboards procedures, memoranda, letters, and reports that include legal and medical terminology.
  • Maintains files and monitors special projects to be completed.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
