About The Position

The Department of Corrections (IDOC) is seeking to hire an Office Associate for the Transfer Coordinator's Office. This role is responsible for maintaining general office files, dating and logging incoming transfers and other documents, and handling telephone calls. The position also involves using the Law Enforcement Activity Data System (LEADS) to conduct warrant checks on individuals in custody and typing various documents, including those with legal terminology. This position is ideal for detail-oriented individuals who can multitask.

Requirements

  • Requires knowledge, skill, and mental development equivalent to completion of high school.
  • Requires two (2) years of office experience.
  • Requires the ability to keyboard accurately at 45 wpm.
  • Requires the ability to lift and carry boxes and files weighing up to 25 pounds.
  • Requires the ability to pass the IDOC/IDJJ background check.
  • Requires the ability to pass a drug screen.
  • Required to utilize digital technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department.
  • Applicants are required to abide by all vaccine and/or other medical standards as set out by the employer.

Responsibilities

  • Maintains General Office files, including retrieval, distribution, and reshelving of files daily, which may weigh up to 25 pounds.
  • Date stamps and logs all incoming transfers and other paperwork and documents received in the Transfer Coordinator's Office (TCO).
  • Answers phones and routes telephone calls.
  • Utilizes the Law Enforcement Activity Data System (LEADS) to run warrant checks on individuals in custody that the Department of Corrections (DOC) wants to transfer to low-security institutions.
  • Keyboards letters, reports, documents, and memos, including those with legal terminology.
  • Performs other duties as required or assigned that are reasonably within the scope of the duties enumerated above.
