About The Position

The Office Associate II position assists all areas of regulatory oversight by the Gambling Control Unit in the processing of complaints, violations, notifications to licensees and license verifications for other states. This role is crucial in processing, reviewing complaints, and gaming violations. It also involves assisting in processing licensing applications, ensuring compliance with state policies, and supporting various administrative tasks related to all regulated gaming areas, with special emphasis on Charitable Gaming. The ideal candidate will have a knack for organization, a keen eye for detail, and the ability to work effectively independently and as part of a team.

Requirements

  • Knowledge of laws & rules pertaining to all regulated gaming and charitable gaming.
  • Proficiency in ALMS (Agency License Management System) as the primary database for licensure or registration.
  • Familiarity with Drupal (Unit Website), Adobe Pro, Microsoft, and Lifecyle Designer for form creation and editing.
  • Understanding of self-exclusion processes in a gambling environment.
  • Knowledge of information distribution through the use of the internet.
  • Strong ability to create and use varied correspondence formats and compose standard business correspondence.
  • Capability to perform basic secretarial duties.
  • Aptitude to stay current and apply applicable laws, rules, regulations, policies, procedures, paperwork, and terminology in gaming.
  • Effective presentation skills for conveying information to individuals/groups.
  • Ability to determine facts, detect errors and irregularities, and take appropriate action in accordance with established procedures.
  • Strong problem-solving skills.
  • Excellent judgment in appraising situations and making decisions/recommendations.

  • Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a solid knowledge of modern office practices to perform complex, varied office support tasks, and 2) the ability to use independent decision-making on the appropriate processes to follow, information to process, and actions to take in accordance with standard procedures.
  • All positions in this classification assume the qualifications of: Office Assistant I , Office Assistant II , and Office Associate I .

Responsibilities

  • Investigative review of complaints and violations.
  • Assist all areas of regulatory oversight by the Gambling Control Unit in the processing of complaints, violations, and notifications to licensees.
  • Complete license verification requests from other states.
  • Support Office Specialist I and II as needed.
  • Process of 4,500 annual charitable applications, including beano/bingo, games of chance, distributor & commercial bingo halls.
  • Determine eligibility of non-profit organizations/committees for licensing/registering beano/bingo, games of chance &/or game nights.
  • Coordinate with inspectors and applicants to gather additional information for licensure or registrations.
  • Process documentation such as issuance of licenses or registrations, notice of violations, self-exclusion applications, etc.
  • Comply with state policies, including those concerning human resource components of agency information security and confidentiality.
  • Create and use varied correspondence formats and compose standard business correspondence.
  • Create basic graphics/illustrations/publication materials involving drafting, formatting, illustrating, lettering, and manipulating text and graphics.
  • Develop and use computerized formats and/or graphics for forms, pamphlets, graphs, charts, and tables.
  • Post to, amend, and/or update web pages using established content and knowledge of modern office software.
  • Examine documents/information, determine facts, detect errors and irregularities, and take authorized action.
  • Perform routine secretarial duties such as completing work schedules, arranging appointments, and reviewing documents.
  • Receive and greet visitors, determining customer needs.
  • Apply explanation and interpretation of applicable rules, regulations, policies, procedures, codes, and/or documentation requirements to individual cases.
