About The Position

This position provides administrative support for the ESOL supervisor and coordinators. Responsibilities include routine tasks such as typing, filing, scheduling meetings, recording meeting minutes, and ordering and inventory of materials. The role also involves processing purchase orders, requesting quotes, preparing and processing task codes, and supporting department budget oversight. The Office Associate II will handle administrative details independently, including screening calls, composing correspondence, and scheduling appointments. Maintaining office records, files, and reports efficiently, as well as ESOL enrollment records for submission to the Maryland State Department of Education, are key duties. Other job-related duties may be assigned.

Requirements

  • High school diploma or equivalent.
  • Three (3) years' experience performing general clerical or secretarial work.
  • Ability to maintain high level of confidentiality.
  • Thorough knowledge of business English, spelling and punctuation.
  • Ability to interact in a positive manner with staff, educators, and the general public and communicate effectively both orally and in writing.
  • Ability to quickly and accurately operate personal computer, with spreadsheet and word processing software.
  • Good organizational and self-starter skills with ability to meet deadlines.

Nice To Haves

  • Post secretarial training a plus.
  • Applicable post secondary training may be accepted in lieu of experience.
  • Working knowledge of Ellevation (data platform) preferred.

Responsibilities

  • Provide administrative support for the ESOL supervisor and coordinators.
  • Perform routine tasks not limited to typing, filing, scheduling meetings, recording meeting minutes, and ordering and inventory of materials.
  • Process purchase orders and request quotes for content related purchases.
  • Prepare and process task codes.
  • Support with the oversight of department budgets.
  • Handle administrative details independently, including screening of telephone calls, composition of letters/memos, etc., and scheduling of appointments.
  • Maintain office records, files and reports in an efficient manner.
  • Maintain ESOL enrollment records for submission to Maryland State Department of Education.
  • Perform other job-related duties as assigned.
