About The Position

This position requires direct contact with the public and other agencies in person and by phone. It involves performing routine, varied office support tasks that often require the operation of technical office equipment and knowledge of Microsoft applications. This role is part of the Office & Administrative Support Job Family, providing essential support to an agency, program, or operational unit. It is distinguished by its contributory role in meeting operational, production, and/or processing needs. The work involves complex, varied office support tasks requiring established skill sets, a solid knowledge of modern office practices, and the ability to operate office equipment to perform diverse clerical functions. Responsibilities include independent decision-making regarding appropriate processes, information handling, and actions in accordance with standard procedures.

Requirements

  • Knowledge of information distribution through use of the internet.
  • Ability to create and use varied correspondence formats and compose standard business correspondence.
  • Ability to prepare standard reports.
  • Ability to develop and use computerized formats.
  • Ability to perform basic secretarial duties.
  • Ability to collect, count, and reconcile fees in accordance with set procedures.
  • Ability to stay current and understand, discuss, explain, and apply applicable laws, rules, regulations, policies, procedures, paperwork, and terminology.
  • Ability to determine facts, detect errors and irregularities, and take appropriate action in accordance with established procedures.
  • Ability to effectively resolve problems.
  • Ability to exercise good judgment in appraising situations and making decisions/recommendations.
  • Competency in applying a solid knowledge of modern office practices to perform complex, varied office support tasks.
  • Ability to use independent decision-making on the appropriate processes to follow, information to process, and actions to take in accordance with standard procedures.
  • All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II, and Office Associate I.

Responsibilities

  • Shares duties of answering incoming calls for the Augusta Central office.
  • Occasionally greets and directs members of the public in person and by phone to determine individual need.
  • Refers non-routine phone inquiries to appropriate resources.
  • Shares duties on opening, distributing, and handling mail for the entire Augusta Central Office.
  • Types varied business correspondence such as letters, reports, and orders.
  • Creates spreadsheets and performs data management.
  • Maintains computerized and manual files.
  • Operates technical office equipment.
  • Compiles address information for large mailings and creates mail merge documents.
  • Examines/proofreads documents to detect errors and irregularities.
  • Collects and inputs payments in accordance with set procedures.
