About The Position

The Office Assistant is responsible for executing administrative tasks associated with successful property operation. This includes answering phones, greeting residents and visitors, making copies and faxing documents, inputting, managing, and closing out work orders, creating new files, managing existing files, collecting and batching rent payments, and coordinating mailings to residents and applicants.

Requirements

  • High school diploma or GED required
  • Minimum of two years of administrative experience, preferably in an office setting
  • Scheduling flexibility based on business needs
  • Sound interpersonal skills
  • Strong written and verbal communication skills
  • Advanced customer service and problem-solving skills
  • Advanced organizational and time management skills
  • Technically proficient in Microsoft Office
  • Ability to work in a fast-paced, action-oriented environment
  • Ability to establish relationships across the organization and at various hierarchical levels
  • Ability to travel up to 10% of the time

Nice To Haves

  • Experience with Public Housing, Project-based Voucher, Tax Credit, and Section 8 is highly preferred

Responsibilities

  • Answering phones, greeting residents and visitors
  • Making copies and faxing documents
  • Inputting, managing, and closing out work orders
  • Creating new files and managing existing files
  • Collecting and batching rent payments
  • Coordinating mailings to residents and applicants
  • Preparing reports, presentations, memorandums, proposals, and correspondence
  • Scheduling appointments and meetings for property management
  • Serving as the primary point-of-contact for resident inquiries
  • Resolving resident conflict through de-escalation strategies
  • Assisting in the preparation of departmental budgets and expense allowances
  • Tracking inventory of office supplies and ordering more as approved
  • Assisting in the completion of the initial rental application
  • Assisting in the preparation of leases or rental agreements
  • Coordinating timely revenue collection in accordance with lease obligations and accounts receivable procedures
  • Entering rent information into Yardi in a timely and accurate manner
  • Assisting in coordinating requests for repairs or maintenance, upkeep, and refurbishment at property
  • Adhering to Fair Housing Laws in all resident and prospect interactions
  • Other duties as assigned
