About The Position

Wonderful College Prep Academy (WCPA) is seeking a dedicated Office Assistant to perform general clerical duties, support office operations, and assist with student record management. This role involves interacting with parents, families, and staff, coordinating student pickups, and managing administrative tasks in a fast-paced environment. The Office Assistant will also play a role in communicating school information, managing uniform sales, and providing support to the leadership team.

Requirements

  • Proficiency with Microsoft Outlook, Word, Excel, and PowerPoint.
  • Ability to remain calm under pressure, while interacting in a professional, positive manner with WCPA students, staff, and community.
  • Exceptional verbal and written communication skills.
  • Excellent problem-solving skills.
  • Flexible and able to prioritize multiple projects and deadlines.
  • Able to accurately organize daily office tasks.
  • A passion for advancing the education of students in the Central Valley of California.

Nice To Haves

  • Experience with student information systems preferred.
  • Experience supporting office operations of a dispersed work team in a fast-paced and dynamic environment, a plus.

Responsibilities

  • Perform general clerical duties including answering phones, taking and distributing messages, sorting mail, translating documents, and preparing general correspondence.
  • Use automated telephone system to send out school information as necessary.
  • Build strong working relationships with parents, families, and staff.
  • Coordinate with schools for student pickups.
  • Communicate with operations staff for delivery of items.
  • Assist with the maintenance of student cumulative files.
  • Assist with maintaining complete and current immunization records for all students.
  • Assist with maintaining emergency medical and contact information for all students.
  • Assist the registrar and SIS Manager with the management and compliance of student records.
  • Be knowledgeable of all content in the school safety binder, including emergency procedures.
  • Report all injuries and other school incidents to the operations team.
  • Perform tasks as an interpreter, when necessary, in whole-school functions and smaller meetings.
  • Manage uniform sales and money from parents, providing receipts for payments.
  • Provide support to the leadership team as necessary.
  • Perform other duties as assigned.
