Job Summary The Office Assistant supports the office by providing administrative and operational support to ensure smooth day-to-day office functions. This role requires strong organizational skills, attention to detail, and the ability to work both independently and collaboratively.

Requirements

  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Word, Excel, and PowerPoint.
  • Excellent organizational skills with attention to detail and ability to multitask.
  • Ability to handle confidential information with discretion.
  • Able to lift and carry up to 20 lbs. safely.
  • A high school diploma or GED is required.
  • Requires a minimum of three (3) years of relevant administrative experience.

Nice To Haves

  • A bachelor’s degree is preferred.

Responsibilities

  • Support daily office operations including reception, hospitality, and facilities upkeep.
  • Maintain a clean, organized, and welcoming office environment (meeting rooms, kitchen, common areas).
  • Process expense reimbursements.
  • Assist with tracking budgets and expenditures.
  • Serve as a point of contact for building-related matters (maintenance, parking, access, event space).
  • Coordinate mail handling, office supply ordering, business cards, name plates, and directory updates.
  • Schedule meetings, prepare materials, and coordinate travel arrangements.
  • Provide backup for administrative support and serve as office operations lead when needed.
  • Support internal events and special projects, including office renovations.
  • Maintain office-specific databases and perform routine data entry.
