Requirements

  • High school diploma or equivalent
  • Previous administrative or customer service experience
  • Proficiency in Microsoft Office Suite and database management
  • Excellent communication skills—both written and verbal
  • Strong organizational abilities with keen attention to detail
  • Ability to handle multiple priorities while meeting deadlines

  • Professional: Discretion in handling confidential member information

Nice To Haves

  • Familiarity with Taft-Hartley plans or benefit administration
  • Experience in union operations or similar member-service environments

Responsibilities

  • Be the welcoming first point of contact for phone calls, emails, and office visits
  • Guide members through benefit questions and eligibility inquiries with patience and expertise
  • Provide clear, accurate information about fund policies and procedures
  • Ensure timely resolution of member concerns by coordinating across departments
  • Maintain accurate member records including benefits, contributions, and eligibility data
  • Process forms and applications with precision and attention to detail
  • Prepare correspondence, reports, and essential documents
  • Support website updates and digital communications
  • Assist with Board meetings, fund events, and training sessions
  • Prepare agendas, take minutes, and coordinate meeting logistics
  • Help create a professional, organized environment for important gatherings
  • Keep the office running smoothly with supply management and vendor coordination
  • Maintain organized, efficient filing systems and workspace
  • Support special projects and compliance documentation
