About The Position

The Office Assistant will be responsible for overseeing day-to-day office operations, ensuring a smooth and efficient workplace. This role involves maintaining office supplies, managing vendor relationships, and coordinating office maintenance. The assistant will also support a positive office culture by planning and coordinating employee events, meetings, and team-building activities. They will serve as the main point of contact for office visitors, deliveries, and facilities-related needs, and manage relationships with building management, ensuring compliance with workplace safety protocols. Additional duties include ordering supplies, managing mail, ensuring efficiencies in new hire onboarding, stationing at the front desk, maintaining kitchen cleanliness, welcoming vendors, and managing boardrooms and common spaces. The role also involves assisting with employee engagement initiatives, internal communications, company-wide events, and providing general administrative support.

Requirements

  • 2+ years of experience in office management, or a similar role, preferably in a fast-paced technology or startup environment.
  • Strong ability to prioritize tasks, manage multiple deadlines, and work independently.
  • Excellent written and verbal communication skills.
  • Highly organized with a strong attention to detail and problem-solving mindset.
  • Ability to handle confidential information with discretion and professionalism.
  • Proficiency in Microsoft Office, Google Workspace, and calendar management tools.
  • Experience coordinating events, managing vendors, and supporting facilities operations.
  • Strong interpersonal skills with the ability to build relationships across all levels of the organization.

Responsibilities

  • Office housekeeping: order supplies, MAIL, ensure efficiencies in new hire, stationed at the front desk, empty dishwasher, keep kitchen clean and well stocked, welcome vendors at the front area.
  • Manage the boardrooms and all common spaces.
  • Assist with employee engagement initiatives, internal communications, and company-wide events.
  • Provide general administrative support as needed to enhance company operations.
