Our Milwaukee office is seeking a full-time Office Assistant who is personable, highly organized, and committed to providing excellent service. This role will handle reception and a variety of administrative duties to ensure smooth office operations.

Requirements

  • Minimum of high school diploma or GED equivalent
  • 0-2 years of related experience
  • Ability to lift to 50 lbs.
  • Exceptional organizational abilities with strong attention to detail
  • Flexibility and the willingness to assist with different assignments, as needed
  • Proficiency with Microsoft Word, PowerPoint and Excel
  • Ability to handle confidential information
  • Exemplary interpersonal skills to positively interact with visitors, vendors and internal staff at all levels.
  • Demonstrated ability to contribute as a reliable team member
  • Excellent verbal and written communication skills
  • Comfort in fast-paced environments; ability to manage details and stay on top of multiple tasks, large and small, at once.
  • High level of self-motivation and strong initiative
  • Ability to work independently with minimal supervision

Responsibilities

  • Answer Phones
  • Greet Visitors and Guests
  • Maintain clean and professional lobby space
  • Send/Receive faxes
  • Prepare shipments, pickup and sort mail
  • Maintain, organization, stocking and cleanliness of all conference rooms and kitchens, including cleanup after client meetings
  • Maintain organization and cleanliness of supply room and all supply areas
  • Stock copiers with paper daily, make sure extra paper on hand in all areas
  • Prepare office space for new employees, including clean-up of space stocking with new supplies, providing nameplate and welcome sign
  • Assist with coordinating internal social events and activities
  • Responsible for taking company vehicles in for service and routine maintenance
  • Assist/order and set-up of lunches/beverages for client/internal office meetings
  • QC Opportunity training and posting
  • Scan files for filing
  • Print and or bind documents.
  • Complete special assignments, as needed
  • Other duties as assigned
