About The Position

The Office Assistant provides clerical and administrative support to the San Poil Treatment Center. This position serves as the first point of contact for clients and visitors, providing professional customer service while supporting the daily operations of the office. Responsibilities include reception, scheduling, data entry, filing, answering phones, preparing correspondence, and maintaining confidential records.

Requirements

  • High school diploma or GED required.
  • Two (2) years of general clerical and keyboarding experience in a customer service-oriented environment.
  • Valid Washington State driver's license and insurable driving record will be required.
  • Must successfully pass a criminal background check and any other pre-employment requirements established by the Colville Tribes.
  • Knowledge of general office procedures and administrative practices.
  • Strong customer service and interpersonal skills.
  • Ability to communicate effectively both verbally and in writing.
  • Excellent organizational and time management skills.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and standard office equipment.
  • Ability to learn electronic health record (EHR) systems.
  • Ability to maintain confidential and sensitive information.
  • Strong attention to detail and accuracy.
  • Ability to work independently as well as collaboratively with a multidisciplinary team.

Nice To Haves

  • Knowledge of Native American culture and the ability to work respectfully with Tribal communities is preferred.

Responsibilities

  • Greet clients, visitors, and staff in a courteous and professional manner.
  • Answer and direct telephone calls, take messages, and respond to routine inquiries.
  • Schedule appointments and maintain calendars.
  • Perform data entry and maintain paper and electronic files.
  • Prepare, scan, copy, fax, and distribute documents and correspondence.
  • Process incoming and outgoing mail.
  • Maintain office supplies and assist with ordering as needed.
  • Assist with client paperwork and administrative support for clinical staff.
  • Maintain confidentiality in accordance with HIPAA, 42 CFR Part 2, Tribal policies, and agency procedures.
  • Perform other related duties as assigned.
