About The Position

The Department of Health and Human Services (DHHS) is seeking an Office Assistant II to perform a variety of administrative support duties. This role involves tasks such as typing, filing, making copies, answering telephones, and other general clerical duties. The position is located in Rockland and is part of the Office for Family Independence (OFI), which administers programs like MaineCare, TANF, and SNAP. The department is committed to promoting health, safety, resilience, and opportunity for Maine people.

Requirements

  • Competency in applying a general knowledge of modern office practices to perform routine, varied office support tasks often requiring the operation of technical office equipment
  • Ability to use independent judgment in prioritizing work and selecting the most appropriate course of action within set procedures
  • All positions in this classification assume the qualifications of: Office Assistant I
  • Cover letter rating skills in Outlook or comparable email applications as: expert, skilled or novice
  • Cover letter rating skills in Excel or comparable spreadsheet applications as: expert, skilled or novice
  • Cover letter rating skills in MS Word or comparable word processing applications as: expert, skilled or novice
  • Cover letter rating skills in Receptionist and customer assistance by phone as: expert, skilled or novice
  • Cover letter rating skills in Data entry (entering data and narratives) as: expert, skilled or novice
  • Cover letter rating skills in Keyboarding (words per minute)

Responsibilities

  • Answering incoming phone calls
  • Processing incoming and outgoing mail
  • Filing of paperwork and documents
  • Faxing, scanning and indexing documents
  • Assisting in a back-up capacity for Regional Operations staff, including greeting/screening individuals, determining needs, and referring them to the appropriate employee, unit, or office for services
  • Receiving, routing, and transferring all incoming calls
  • Documenting all walk-in traffic on the electronic walk-in log
  • Performing other miscellaneous administrative duties as assigned
