About The Position

The Department of Health and Human Services (DHHS) is seeking an Office Assistant II to perform a variety of administrative support duties. This role involves typing, filing, making copies, answering telephones, and other general clerical duties. The position is located in Farmington and offers a salary range of $16.80 - $23.24 per hour, inclusive of a 4.00% recruitment and retention stipend. New employees start at $16.80 per hour. The Department of Health and Human Services (DHHS) is dedicated to promoting health, safety, resilience, and opportunity for Maine people, providing health and social services to a significant portion of the state's population. The Office for Family Independence (OFI) within DHHS is responsible for eligibility determination for programs like MaineCare, TANF, Food Supplement, and Child Support.

Requirements

  • Competency in applying a solid knowledge of modern office practices to perform complex, varied office support tasks.
  • Ability to use independent decision making on processing information, following appropriate processes, and acting in accordance with standard procedures.
  • Skills in Outlook or comparable email applications (rated expert, skilled, or novice).
  • Skills in Excel or comparable spreadsheet applications (rated expert, skilled, or novice).
  • Skills in MS Word or comparable word processing applications (rated expert, skilled, or novice).
  • Skills in Receptionist and customer assistance by phone (rated expert, skilled, or novice).
  • Skills in Data entry (entering data and narratives) (rated expert, skilled, or novice).
  • Skills in Keyboarding (words per minute) (rated expert, skilled, or novice).

Responsibilities

  • Answering incoming phone calls
  • Processing incoming and outgoing mail
  • Filing of paperwork and documents
  • Faxing, scanning and indexing documents
  • Assisting in a back-up capacity for Regional Operations staff, in greeting/screening individuals coming into the office and asking questions to determine needs and referring to appropriate employee, unit or office for services.
  • Receiving, routing and transferring all incoming calls and documenting all walk in traffic on the electronic walk-in log.
  • Other miscellaneous administrative duties as assigned.
