About The Position

This position is within the Department of Health and Human Services (DHHS), specifically in the Office for Family Independence (OFI). The Office Assistant II will perform a variety of administrative support duties. These duties include typing, filing, making copies, answering telephones, and other general clerical tasks. The role also involves assisting with greeting and screening individuals, processing mail, faxing, scanning, indexing documents, and documenting walk-in traffic. The position is located in Farmington and is not eligible for visa sponsorship or STEM OPT extensions. The Department of Health and Human Services (DHHS) is dedicated to promoting health, safety, resilience, and opportunity for Maine people, providing health and social services to a significant portion of the state's population. The Office for Family Independence (OFI) administers eligibility determination for programs like MaineCare, TANF, Food Supplement, and Child Support.

Requirements

  • Competency in applying a solid knowledge of modern office practices to perform complex, varied office support tasks.
  • Ability to use independent decision making on processing information, following appropriate processes, and acting in accordance with standard procedures.
  • Proficiency in Outlook or comparable email applications (rated as expert, skilled or novice).
  • Proficiency in Excel or comparable spreadsheet applications (rated as expert, skilled or novice).
  • Proficiency in MS Word or comparable word processing applications (rated as expert, skilled or novice).
  • Experience in Receptionist and customer assistance by phone (rated as expert, skilled or novice).
  • Experience in Data entry (entering data and narratives) (rated as expert, skilled or novice).
  • Keyboarding skills (words per minute) (rated as expert, skilled or novice).

Responsibilities

  • Performing a variety of administrative support duties including typing, filing, making copies, answering telephones and other general clerical duties as needed.
  • Answering incoming phone calls.
  • Processing incoming and outgoing mail.
  • Filing of paperwork and documents.
  • Faxing, scanning and indexing documents.
  • Assisting in a back-up capacity for Regional Operations staff, in greeting/screening individuals coming into the office and asking questions to determine needs and referring to appropriate employee, unit or office for services.
  • Receiving, routing and transferring all incoming calls and documenting all walk in traffic on the electronic walk-in log.
  • Other miscellaneous administrative duties as assigned.
