About The Position

The Department of Health and Human Services (DHHS) is seeking an Office Assistant II to perform a variety of administrative support duties. This role involves tasks such as typing, filing, making copies, answering telephones, processing mail, faxing, scanning, and indexing documents. The position also includes assisting with lobby and mailroom duties as a back-up and performing other miscellaneous administrative duties as assigned. The Department of Health and Human Services (DHHS) is dedicated to promoting health, safety, resilience, and opportunity for Maine people, providing health and social services to approximately a third of the State's population. The Office for Family Independence (OFI) is responsible for the administration of several programs and services, including MaineCare, TANF, SNAP, Child Support, and Disability Determinations.

Requirements

  • Training, education, or experience in office and administrative support work that demonstrates competency in applying a general knowledge of modern office practices to perform routine, varied office support tasks often requiring the operation of technical office equipment.
  • Ability to use independent judgment in prioritizing the work and selecting the most appropriate course of action within set procedures.
  • All positions in this classification assume the qualifications of: Office Assistant I.
  • Cover letter rating skills in Outlook or comparable email applications, Excel or comparable spreadsheet applications, MS Word or comparable word processing applications, Receptionist and customer assistance by phone, Data entry (entering data and narratives), and Keyboarding (words per minute) as: expert, skilled or novice.

Responsibilities

  • Answering incoming phone calls
  • Processing incoming and outgoing mail
  • Filing of paperwork and documents
  • Faxing, scanning and indexing documents
  • Assisting with lobby and mailroom duties as a back-up for Regional Operations staff
  • Other miscellaneous administrative duties as assigned
